This guide is for companies buying transport. Car owners: we run our own fleet and are not adding cars from owners at the moment (why).
Quick answer
Employee transport sets the start of every shift: if the vehicle is late, the shift is late. Most delays come from routes with too many stops, late roster changes, no backup vehicle and pickup points that move. Fixing them means shorter route plans, cut-off times for changes, a backup plan per location and GPS records reviewed every month.
Chapter 01
Why does transport decide shift punctuality?
Because shift staff on company transport cannot arrive before their vehicle does. A late vehicle makes every passenger late at once.
When employees come on their own, lateness is spread out: one person here, another there. On company transport it arrives in blocks. A van that reaches the gate twenty minutes late brings ten late employees to the same line at the same time. At a plant that can mean a line starting short; in a hospital or a hotel, a handover that waits.
That is why transport punctuality deserves its own review, separate from attendance. The question is not only "who was late?" but "which vehicle, on which route, and why?"
Chapter 02
Where do shift transport delays usually come from?
Five places: route design, roster changes, vehicle and driver problems, pickup-point discipline and the road itself.
| Cause | What it looks like | Who controls it |
|---|---|---|
| Route too long | Too many stops or towns on one route | Vendor, with the company's roster |
| Late roster changes | Names added after the plan is set | Company (cut-off times) |
| No backup | A breakdown leaves a route without a vehicle | Vendor |
| Pickup-point waiting | Vehicle waits for one late employee | Company policy, applied by the driver |
| Road and weather | Rain, festivals, roadworks | Both: a buffer in the plan |
| Gate entry | Queues at security | Company, with the vendor's driver list |
Chapter 03
What should the transport vendor do about punctuality?
Plan realistic routes, dispatch on time, keep a backup vehicle ready, track every trip and tell your coordinator as soon as a trip is delayed.
- Realistic route plans with timings that include a buffer for the road.
- A pre-trip check of each vehicle (tyres, fuel, lights) before the shift.
- Rest between duties: a tired driver is replaced, not pushed.
- A backup plan per location: with us a backup car typically reaches a plant shift within about an hour.
- GPS on every vehicle and a portal login for your team: live location and trip history.
- A call or WhatsApp to your coordinator as soon as a trip is delayed or cancelled.
A delay you hear about at 6:10 is a problem. A delay you hear about at 6:40 is a crisis. Our rule for dispatch
Chapter 04
What should the company control?
The roster and its cut-off time, the pickup rules and the gate process.
Some of the biggest punctuality gains cost nothing and sit with the company:
- Set a cut-off time for roster changes for the next shift, and keep to it.
- Write a pickup rule: how long a vehicle waits at a pickup point before leaving. See what happens when an employee is not at the pickup point.
- Share the driver and vehicle list with security so gate entry is quick. See security gate entry for shift vehicles.
- Name one coordinator who receives delay calls and decides.
Chapter 05
How do you improve shift punctuality step by step?
Find the late routes in the data, fix their design, set cut-offs and pickup rules, agree a backup plan, then review monthly.
- Pull the trip history. Use GPS records for the last month to find which routes and times run late.
- Redesign the worst routes. Fewer stops, a split route or a bigger vehicle where one route carries too many towns.
- Set the cut-off and pickup rule. Write them into the transport policy and tell employees.
- Agree the backup plan. Per location and per shift, in writing.
- Add an on-time target if you need one. An SLA with on-time pickup targets can be written into the contract on request.
- Review monthly. Trips, delays and complaints, with action on repeat problems.

Questions
Questions about transport and punctuality
Can a transport vendor guarantee on-time arrival?
No vendor controls the road, but on-time targets with service credits can be written into an SLA on request, and GPS records show what happened on every trip.
How early should shift vehicles reach the gate?
The company sets the gate time in the route plan; we plan routes to reach it with a buffer for the road.
What happens if a vehicle breaks down before a shift?
A backup car is sent; for a plant shift it typically arrives within about an hour, under a backup plan agreed per location.
Will you tell us when a trip is late?
Yes. The office calls or WhatsApps your coordinator as soon as a trip is delayed or cancelled.
Can we see where the vehicle is?
Yes. Companies can get a login to our GPS tracking portal with live location and trip history.
What if one employee is always late to the pickup point?
The pickup rule in your transport policy decides how long the driver waits; repeated cases go to your coordinator.
Do you run night and early-morning shifts?
Yes, 24/7. Driving between 10 PM and 6 AM may carry the night charge, as agreed in the contract.
Do drivers get rest between shifts?
Yes. Drivers rest between duties and a tired driver is replaced.
