Festival and monsoon peaks: planning transport for Diwali, Navratri and heavy rain

In Gujarat, the year has two transport stress tests: the monsoon, when roads slow and some stretches flood, and the festival season from Navratri to Diwali, when traffic, leave and production targets all peak together. This guide helps plant heads, HR and admin teams plan routes, rosters and backups before those weeks arrive.

This guide is for companies buying transport. Car owners: we run our own fleet and are not adding cars from owners at the moment (why).

Quick answer

Plan employee transport for festival and monsoon peaks by adding time buffers on slow routes, agreeing alternate routes for waterlogged stretches, receiving rosters earlier because leave and overtime change who travels, confirming the backup plan for each location, and naming who decides on a bad day. Review routes after the first heavy rain.

Chapter 01

What changes for employee transport in the monsoon?

Roads slow, some stretches waterlog, visibility drops and breakdowns rise, so routes need buffers and alternates.

  • Slower roads: add a time buffer on routes that cross known slow stretches.
  • Waterlogging: agree alternate roads and pickup points in advance.
  • Vehicle checks: our pre-trip check of tyres, fuel and lights matters more in rain.
  • Communication: delays reported to your coordinator by call or WhatsApp as soon as they happen.

Chapter 02

What changes from Navratri to Diwali?

Heavier evening traffic, more leave, more overtime and holiday shifts, and more travel for guests and events.

Plan the season as a whole, not week by week.

Chapter 03

How do you plan for the peaks?

Review last year, set buffers and alternates, ask for rosters earlier, confirm backups, and agree who decides on a bad day.

  1. Review last year. Which routes and weeks ran late.
  2. Set buffers and alternates. Per route, before the season.
  3. Bring the roster cut-off forward. Leave and overtime need earlier rosters.
  4. Confirm the backup plan. For each location and shift.
  5. Name the decision-maker. Who can change timings or routes on the day.
  6. Review after the first heavy rain. And adjust.

Chapter 04

Does peak season change the cost?

Contract rates stay fixed for the term; extra vehicles, overtime drops, tolls and night driving are billed as agreed.

Our rates stay fixed for the agreed contract term. During peaks, the bill changes only through what you add: extra trips or vehicles, overtime and late drops, tolls and parking, and the night charge where driving falls between 10 PM and 6 AM, as agreed in the contract. Budget these as a seasonal line. See building the annual transport budget.

The monsoon does not surprise anyone in Gujarat. What surprises people is having no plan for it.Our view of peak season

Chapter 05

What about festival events and guests?

Book cars, Tempo Travellers or buses for events and guest visits early on the company account.

Questions to settle before the season

  1. Which routes need a buffer, and how long?
  2. Where do we move pickup points in heavy rain?
  3. When is the roster cut-off during festival weeks?
  4. Which holiday shifts run?
  5. Which events and guest visits need vehicles?
