This guide is for companies buying transport. Car owners: we run our own fleet and are not adding cars from owners at the moment (why).
Quick answer
For hybrid and changing rosters, set a cut-off time for roster changes, choose a pricing model that follows real use (per trip or per km on actuals rather than a fixed monthly vehicle when days vary), right-size vehicles each month, and use boarding lists and seat occupancy to decide when to add or reduce vehicles. Charges are per vehicle or trip, not per head.
Chapter 01
Why are changing rosters hard for transport?
Because routes, vehicles and drivers are planned in advance, while the people travelling change day by day.
A route plan assumes the same riders each day. Hybrid offices, rotating shifts and seasonal lines break that assumption: Monday's full vehicle is Friday's half-empty one. If changes reach the vendor late, vehicles run empty or employees are left without a seat.
Chapter 02
Which pricing model suits a changing roster?
Per trip or per km on actuals follow real use; a fixed monthly price per vehicle suits stable routes.
| Pattern | Model that fits | Why |
|---|---|---|
| Same riders every day | Fixed monthly per vehicle, km limit | Predictable, lowest admin |
| Fixed routes, varying days | Per trip, billed monthly | Pay for days the route runs |
| Routes change often | Per km on actuals | Pay for kilometres actually run |
| Mix | Fixed core vehicles plus per-trip extras | Stable base, flexible top-up |
Chapter 03
Why does a cut-off time matter so much?
It gives the vendor time to rebuild routes and send the right vehicles, and gives employees certainty about their pickup.
- Companies set cut-off times for changes to recurring transport.
- One channel: changes from one coordinator, in one format.
- Late changes: handled as ad hoc trips where possible, at published rates or as agreed.
- Confirmation: changes confirmed in writing (WhatsApp or email).
A roster that arrives after the cut-off is not a roster. It is a list of people who may not get a seat. Why we ask for a cut-off
Chapter 04
How do you set up transport for changing rosters?
Agree the cut-off and channel, choose the model, start with a core of vehicles, add flexible capacity and review monthly.
- Agree the cut-off and channel. When and how roster changes reach us.
- Choose the model. Fixed, per trip or per km, or a mix.
- Plan the core. Vehicles for the riders you have every day.
- Add flexible capacity. Extra trips or vehicles on the busy days.
- Track occupancy. Boarding lists and utilisation reports.
- Review monthly. Add or reduce vehicles under the contract.

Chapter 05
What works for hybrid offices?
Fixed routes on the busiest days, per-trip or on-call cars on the others, and late drops written into the policy.
Questions for a hybrid office
- Which days are most people in?
- Do we need routes on quiet days, or on-call cars?
- Who sends the weekly roster, and by when?
- How are late working days handled?
- Do executives need separate cars?
For offices in Ahmedabad, Gandhinagar and GIFT City, local car packages (4 hours / 40 km, 8 hours / 80 km, 12 hours / 120 km) can also cover visitors and meeting days; package prices are given on call. See corporate car rental packages.
