This guide is for companies buying transport. Car owners: we run our own fleet and are not adding cars from owners at the moment (why).
Quick answer
Build an employee transport budget from the bottom up: staff per shift and the towns they come from, turned into routes, vehicles and monthly kilometres; priced in one model (monthly per vehicle with a km limit, per trip, or per km); plus tolls, parking, night charges, executive cars, airport runs and events; plus a buffer for growth and peaks.
Chapter 01
What inputs does a transport budget need?
Staff per shift, the towns they travel from, shift timings and days, the site address, and the other movements: executives, airport, events.
- Staff per shift, by month if headcount changes during the year.
- Towns and pickup points they travel from.
- Shift timings and working days, including Saturdays, Sundays and night shifts.
- Planned changes: new lines, a new plant, seasonal peaks.
- Other movements: executive cars, airport transfers, visitors, events and outstation trips.
Chapter 02
How do you build the budget step by step?
Get a route plan, choose a pricing model, add extras and other movements, add a buffer, then split it by cost centre.
- Ask for a route plan. Routes, vehicles and timings from the inputs above.
- Choose the pricing model. Fixed monthly per vehicle with a km limit, per trip, or per km on actuals; ask for the one that fits.
- Add extras. Tolls and parking (extra on every booking), and the night charge where driving falls between 10 PM and 6 AM, as agreed in the contract.
- Add other movements. Executive cars, airport transfers, events and outstation trips at published rates or on quote.
- Add a buffer. For growth, new joiners and peaks.
- Split by cost centre. Plant, department or branch, matching how the invoice will be split.
Chapter 03
Which pricing model makes budgeting easiest?
A fixed monthly price per vehicle is the most predictable; per trip and per km follow actual use more closely.
| Model | Budget predictability | Best when |
|---|---|---|
| Fixed monthly per vehicle, km limit | High: one figure per vehicle, extra km at the per-km rate | Routes and shifts are stable |
| Per trip, billed monthly | Medium: depends on trip count | Routes are fixed but days vary |
| Per km on actuals | Lower: follows kilometres run | Routes change often |
Published per-km rates are Sedan ₹12, Ertiga ₹13 and Innova Crysta ₹18; Tempo Travellers and buses are quoted. Because our rates stay fixed for the agreed term and are revised at renewal, fuel price changes during the year do not change the budget. See how monthly shift transport is priced.
Chapter 04
What travel do budgets usually forget?
Executive and guest cars, airport runs, auditors and visitors, training batches, events and late drops after overtime.
These are small individually and large together. Budget them as separate lines so they do not eat into the shift transport figure. Our invoices can bill executive travel separately from employee transport, and list every trip by date, route, km and car.
The shift routes are the budget everyone sees. The airport runs and late drops are the budget everyone forgets. What we see at year end
Chapter 05
How do you track spending against the budget?
Monthly, from a trip-wise invoice split by cost centre, with a utilisation report every quarter.
- Monthly invoice with a km and trip summary, split by plant, department or cost centre.
- Utilisation report on request: vehicle use, seat occupancy and monthly spend per plant.
- Fuel use per vehicle tracked and reported on request.
- Cost-reduction targets can be agreed in an annual contract.
Questions to ask a vendor at budget time
- Can you quote two pricing models side by side?
- Are rates fixed for the whole term?
- What is the per-km rate for extra kilometres?
- Can the invoice match our cost centres?
- Can you send a quarterly utilisation report?

Budget questions
How do you estimate employee transport cost?
From a route plan: vehicles and kilometres per month, priced in one model, plus extras. See the short answer on estimating the monthly cost.
What is the cost per employee?
We charge per vehicle or per trip, not per head. Divide the total by riders if you need a per-employee figure for reporting.
Will fuel price changes affect the budget?
No. Rates stay fixed for the agreed contract term and are revised at renewal.
Are tolls included?
Tolls and parking are extra and shown on the invoice.
Is there a night charge?
Driving between 10 PM and 6 AM may carry the night charge (20%), as agreed in the contract.
Can the invoice be split by department?
Yes, by plant, department, branch or cost centre.
Do you give better rates for longer contracts?
Better rates for long contracts or many vehicles can be quoted per company.
Can we pay by bank transfer?
Yes. Companies pay by bank transfer; approved accounts get a monthly invoice and a credit period agreed per company.
