What should the planning sheet contain?
A simple table is enough. Use whatever format your team already keeps.

Do you need employees' personal details?
Not to plan. Areas and headcount are enough to propose routes. Names and phone numbers are useful later for passenger lists and driver contact, and exact addresses only where door pickup is agreed.
Share personal details only as far as your company's policy allows.
What happens after we share?
We return a proposal: routes in order, pickup points as location pins, pickup times worked back from shift starts, and the vehicle for each route with its price. You approve or ask for changes before the start date.
