Short answer
Which vehicle documents do you keep, and can we see them?
For every car we keep the RC, insurance, permit, fitness certificate and PUC valid, and show them to companies on request. Service and inspection records are kept per car and are open to you, we tell you before any document is due for renewal, and companies may inspect the fleet before signing and audit us during the contract.
Vendor files go stale. A permit that was valid at onboarding can lapse in month nine, and nobody notices until a checkpoint or an audit does. Telling the company before a document is due, rather than after, keeps your vendor file current without your admin team chasing us for copies every quarter.
Per vehicle
What does each document prove?
Five documents per car, each answering a different audit question.

| Insurance | The vehicle is insured | On request; renewal notice before expiry |
| Permit | Commercial use is permitted | On request; renewal notice before expiry |
| Fitness certificate | The vehicle passed its fitness check | On request; renewal notice before expiry |
| PUC | Pollution check is valid | On request; renewal notice before expiry |
| Service records | Regular servicing and inspections | Open to companies |
