Short answer
How is employee transport priced?
Per vehicle, in one of three ways: a fixed monthly package for a vehicle on a set routine, per-km billing at ₹12 (sedan), ₹13 (Ertiga) or ₹18 (Innova Crysta), or per trip for occasional runs. Because the charge is per vehicle, the bill does not drop when fewer employees ride, and it does not rise when more do.
Pricing is where most transport tenders go wrong. A price per head looks simple but hides what really drives cost: the number of vehicles and the kilometres they cover. When transport is priced per vehicle, those drivers are visible on the invoice (how many cars, which routes, how many kilometres, which trips fell in the night window), so cost can be cut by redesigning routes instead of by squeezing the vendor until service drops.

Which pricing model fits which pattern?
The more predictable the routine, the better a fixed monthly package fits. The more the kilometres vary, the fairer per-km billing is.
Monthly package per vehicle
- One price per vehicle per month
- Hours and km limits set to your routine
- Easy to budget and approve
- Best for daily shift routes
- Paid even on quiet days
Per-km billing
- Published rates: ₹12, ₹13, ₹18 per km
- Pay for kilometres actually driven
- Every trip listed on the invoice
- Harder to budget exactly
Per trip
- For visitors, airport runs, errands
- Minimum fare per booking (₹1,000 sedan)
- Booked on the same account
- Adds up if used daily
Beyond the base price
What is charged on top of the base price?
The same items in every model. Writing them into the contract avoids surprises on the first invoice.
| Item | How it is charged |
|---|---|
| Tolls, parking, state tax | At actual cost |
| Trips starting 10 PM to 6 AM | +20% |
| Waiting beyond 30 minutes | ₹100 per hour |
| Outstation or full-day use | 300 km a day minimum, ₹300 driver allowance |
| Tempo Traveller, bus | Quoted on call |
In a monthly package, how night trips and waiting are treated can be built into the package price instead; we agree this per company.
Questions & answers
Pricing questions
From finance and procurement teams.
Why do you not charge per employee?
A vehicle and driver cost the same whether four or six people ride, so pricing per vehicle is the honest basis; your bill also stays stable when attendance changes.
Can you publish your monthly package price?
No single price fits every routine. Packages depend on the vehicle, hours and kilometres, so we quote each in writing.
Can we switch models later?
Yes, at renewal or as the agreement allows. The monthly reports show which model would have cost less.
Do long contracts cost less?
Yes. Long contracts and multi-vehicle requirements get better rates, quoted per company.
